How to Invite Workers to Help with a Task
In the piece-rate payroll accounting service PayTask, an employer can quickly invite workers to help with a task through the chat system. This is a convenient way to quickly contact the team and ensure effective work completion.
The invitation mechanism works by sending a message in the chat followed by sending email notifications to selected workers. The system allows you to select specific workers to notify and track the read status of messages.
Ways to Send Notifications to Workers
There are two ways to invite workers via chat:
Method 1: Notification When Sending a Message
If you need to immediately notify workers about a new message:
- Go to the Employers Chat
- Select your chat as an employer (or open a specific chat)
- Enter a message in the text input field
- Check the box "Notify workers by email about this message"
- Click the "✉️ Send" button
After sending, you will automatically be taken to the page to select workers for notification.
Method 2: Notification After Sending a Message
If you have already sent a message but forgot to notify workers, you can do it later:
- Open the chat with the sent message
- Find the required message (from the employer)
- Click the "🔔 Notifications" button under the message
- On the selection page, mark the workers to notify
- Click "📧 Send Notifications"
Selecting Workers for Notification
On the notification sending page, you will see a list of all your workers with whom working relationships have been established. For each worker, the following is displayed:
- First and last name — a link to the worker's profile
- Subscription status — if the worker has unsubscribed from notifications, this will be indicated
- Previous notification status — displays whether a notification has already been sent for this message and whether it has been read
You can mark one or more workers to send a notification. Workers who have unsubscribed from notifications will not be shown in the selection list (their status will be displayed separately).
What Workers Receive
Selected workers receive an email notification that includes:
- Email subject — "New message from employer [Name] in PayTask chat"
- Message text — the full text of your message from the chat
- Link to chat — a direct link to the specific message in the chat for quick navigation
- Link to employer profile — for additional information
- Unsubscribe link — if a worker does not want to receive notifications, they can unsubscribe
The worker will receive a notification at the email specified in their profile. This allows you to quickly draw attention to important messages and ensure timely task completion.
The sender of this notification will be your email address set in the profile.
Using Task Group Links
You can insert a link to a specific task group in the chat message, which is especially convenient when inviting workers to help:
- When writing a message, click the "🔗" button (Insert link to task group)
- In the window that opens, select the required task group (you can use search)
- The link will automatically be inserted into the message text
- Send the message with the notification to the workers
A worker who receives the notification can immediately go to the required task group via the link, which speeds up the work process and improves work time tracking.
Tracking Notification Status
After sending notifications, you can track their status:
- Sent — the notification was sent to the worker but not yet read (displays the sending time)
- Read — the worker opened the message in the chat (displays the read time)
- Unsubscribed — the worker has unsubscribed from notifications and will not receive new emails
This information helps you understand which workers have already reviewed the message and are ready to start work. Tracking the read status is important for effective process management and team coordination.
Managing Notification Subscriptions
Workers can manage their subscription to notifications from the employer:
- Unsubscribe from notifications — if a worker does not want to receive email notifications, they can click the corresponding button in the chat or in the email
- Resubscribe — a worker can resubscribe to notifications at any time via the chat
If a worker has unsubscribed from notifications, they will still see messages in the chat but will not receive email notifications. This allows you to maintain communication while reducing the number of emails for workers who regularly check the chat.
Recommendations for Using Notifications
For effective work with notifications, follow these tips:
- Use notifications for important messages — do not send notifications for every message to avoid overloading workers with emails
- Include specific information — in the message, specify exactly what help is needed, what tasks need to be completed, and what the deadlines are
- Use task group links — this helps workers quickly navigate to the required tasks and start work
- Check the read status — if an important message has not been read for a long time, you can remind the worker personally
- Respect workers' choices — if a worker has unsubscribed from notifications, do not insist on a subscription
